Retention of information

This policy sets out IoLET's information management strategy in relation to retention and disposal of records, and to ensure legislative and regulative compliance.

For each of its qualifications, IoLET retains sufficient evidence of candidates' work or assessment decisions to monitor provision over time.

IoLET keeps information until the period for an appeal has expired. After that, it keeps a sufficient store of archived material to monitor provision over time e.g. a good pass, a marginal pass, a marginal fail etc. to prove that, over time, the same results occur i.e. standards remain the same over the lifetime of a qualification.

All records and files are stored in a safe environment so as to prevent damage from flood, fire, theft or accidental damage.

All records and files are reviewed annually for destruction by the relevant Department Managers.

Reasonable steps are taken to ensure that records or files are not retrievable.

Ordinary refuse bins are used for information of a 'public' nature and hard copy data are shredded and disposed of by an approved contractor.

IoLET will review information contained in this policy and its associated procedures annually, as part of our self-evaluation arrangements, and revise it as and when necessary in response to stakeholder or regulatory feedback.
